Venue Coordinator

We know how much time and thought is put into planning your wedding. When the big day is finally here, we want you to rest easy knowing we will be with you every step of the way. On your wedding day, we will work closely with you, your wedding party, family and your vendors. Our team’s goal, is for your day to go smoothly so you can relax and just have fun.  Together, we got this.

What we do as your Venue Coordinator:

Pre Wedding

  • Upon booking, you will be provided with a detailed vendor list with names and contact information of many vendors for you to consider for your wedding day.
  • A Wedding Checklist will be provided to you to help guide you as to what needs to be done when, pre wedding.
  • A Day of Timeline is given to you so you can keep organized and let everyone know what is happening when
  • A Barn diagram is provided so you can visually see our table & chair layout as well as areas for you to choose where you want your gift/card welcome table, dessert table, memory, hors d’oeuvre/beverage table, photo booth, etc.
  • We are available all along your planning process should you, your family or your vendors have any questions.
  • We host a Spring open house for booked couples only. This is a fun day for you, your family and friends to come, if you’d like, to see the Barn and property again. You can enjoy refreshments, register for our door prizes, plan your table décor, plan where your gift, snack, photo and dessert table might go, take pictures & have fun.
  • We will schedule your final walk through at The Barn 4 to 6 weeks before your big day. Here we will review all the details of your wedding day.
  • If you have rented the day before, we are here to offer suggestions or guidance during your wedding rehearsal

The Wedding day

  • We are available during your wedding day and can be the point person for you, your wedding party, family and vendors, should any questions or issues arise.
  • Any free items and any rented items you have requested will be set out for you to decorate with. Larger items, such as arbors, whiskey barrels, spools, ladders, etc. will be placed in the designated spot that you have chosen.
  • If you have décor to hang on our walls, we will take care of that for you.
  • We will take care of setting up and taking down the white wedding ceremony chairs.
  • If you plan to do a rehearsal on your wedding day, we are here to offer suggestions or guidance, should you have any questions.
  • If you give us permission, we will happily take photos and videos throughout the day, capturing precious moments of your wedding day. We will then make you a personal video/slideshow for you to watch and share from our Facebook page.
  • We will watch the weather and will decide with you, if we need to go with Plan B.
  • If you decorated with candles, we will turn them on prior to guest arrival.
  • If requested, we will greet your guests inside the Barn & direct them to the wedding ceremony site.
  • If the head table has requested alcohol, we will gladly serve this for you.
  • We will set up the corn hole board games in the yard.
  • We will fill beverage dispensers or containers depending on which one you decided to use. We will also refill them throughout the day.
  • We are available to help refill the snack/candy/hors d’oeuvre tables, the dessert table and we will set up your end of the night snack table, should you choose to offer this.
  • If not being done by your DJ or other assigned person, we will release the tables for the buffet dinner.
  • We will assist your caterer with table clearing following the meal.
  • Should there be any leftover food, we will put it in the refrigerator for you.
  • When it is time for the dance, we will remove the décor, tables & chairs in this area.
  • We will drive you and your photographer across the road for some beautiful sunset photos, should you wish to do this.
  • Of course we will monitor the restrooms to be sure they are clean & well stocked and that all garbages are emptied.
  • We will assist with transporting gifts and cards to the bride or groom suite or to someone’s car, should you request them be moved when the dance begins.
  • At the end of the night we will pick up all of the free and rented décor items you used.
  • If you brought in your own decorations, we will collect those that are up in the loft so that area is done for you, one less thing for you to worry about at the end of your special day.
  • If you rented linens from us, we will remove them from the tables at the end of the night.
  • When your amazing wedding day comes to an end, you just need to pick up and take your decorations, personal belongings, clothes, gifts/cards and leftover food ~ we take care of everything else.
